Want to run a ride? Ride applications go to the Calendar Coordinator, who presents them to the committee for approval and a place on the VERA calendar. Organising a ride draws on a small team, not just one person.
Key roles in running a ride
- Event Director — overall event planning and delivery, including required permits
- Ride Secretary — oversees entries, completes VERA ride forms, calculates fees
- Track Coordinator — plans, marks and completes risk management documents for the course
- AERASPACE Operator — maintains AERASPACE entries and the electronic timing system (VERA accreditation required)
See Volunteer at a Ride for the rest of the on-the-day team, and Take on an Official Role for accredited positions.
Read the Ride Calendar Policy for how ride applications and calendar approval work.
How to get started
- Read the Ride Calendar Policy so you know how applications and approval work.
- Build your team. The roles above — Event Director, Ride Secretary, Track Coordinator and AERASPACE Operator — are a good starting point.
- Send your ride application to the Calendar Coordinator (below). They present it to the committee for approval and a place on the VERA calendar.
- Sort out permits and permissions. Your Event Director arranges the permits the ride needs, which can include road and traffic permits.
- Arrange your vets. See Vet at a Ride — check the AERA recommended vet fee before you advertise so it can be covered by ride entries.
- Get the paperwork. Ride Organiser forms are in the Forms section.
